This Website Privacy Policy explains how Fitnera Clinic ("Fitnera," "we," "us," or "our") collects, uses, shares, and protects information when you visit www.fitnera.com (the "Website"), book an appointment, make a payment, or contact us through the Website.


Fitnera Clinic is a physician-owned telemedicine practice that provides adult telehealth and medical weight-management services to patients located in Missouri and Illinois.


1. How This Policy Relates to HIPAA


This Policy covers information collected through the public Website. When you become a patient, the health information we create or receive while providing care is Protected Health Information (PHI). PHI is governed by the federal Health Insurance Portability and Accountability Act (HIPAA) and by our separate Notice of Privacy Practices, which explains how we use and disclose PHI and describes your rights. HIPAA-compliant Website platform


The Website is hosted on Wix, and Fitnera has enabled Wix's Protected Health Information (PHI) protection and signed a Business Associate Agreement (BAA) with Wix. Health information you submit through the Website's secure booking, intake, and form features is encrypted in transit and at rest, stored with restricted access, and handled in line with HIPAA.

Please share health information only through the Website's designated secure booking, intake, or patient forms, through our secure patient communication channel, or during your telehealth visit. Regular email and text messages are not fully secure, so please do not send detailed medical information that way unless you accept that risk.


2. Information We Collect

Information you give us


  • Contact and identity information: name, email address, phone number, mailing address, date of birth, and state of residence.

  • Appointment information: the service you select, preferred date and time, and appointment notes you choose to provide.

  • Health information: information you provide in secure booking, intake, or patient forms, such as medical history, current medications, allergies, weight, height, and treatment goals. This information is PHI and is protected as described in Section 1 and our Notice of Privacy Practices.

  • Payment information: billing name, billing address, and payment card details. Card payments are processed by third-party payment processors. Fitnera does not store your full card number on its servers.

  • Messages: information you include when you contact us by form, email, or phone.


Information collected automatically


When you use the Website, we and our service providers may automatically collect:


  • IP address, browser type, device type, and operating system;

  • pages viewed, links clicked, referring website, and date and time of visits; and

  • general location, such as city or state, based on your IP address.

This information is collected using cookies, pixels, and similar technologies. See Section 6.


3. How We Use Information

We use information to:

zschedule, confirm, reschedule, and remind you about appointments;

  • verify that you are located in a state where we are licensed to provide care;

  • process payments, refunds, and billing questions;

  • respond to your questions and requests;

  • send service-related messages, such as confirmations, receipts, and policy updates;

  • send marketing messages, if you have opted in, which you may opt out of at any time;

  • operate, maintain, secure, and improve the Website;

  • detect and prevent fraud, abuse, and security incidents; and

  • comply with legal, regulatory, and professional obligations.


4. How We Share Information


We do not sell your personal information. We do not share your health information for advertising.

We may share information only as follows:

  • Service providers that help us operate the Website and practice, such as website hosting, online scheduling, payment processing, email, video visits, and IT support. They may use information only to perform services for us. Vendors that create, receive, store, or transmit PHI on our behalf, including Wix as our HIPAA-compliant Website platform, must sign a Business Associate Agreement as required by HIPAA.

  • Legal and safety reasons, when required by law, subpoena, or court order, or to protect the rights, property, or safety of patients, Fitnera, or others.

  • Business transfers, in connection with a merger, sale, or transfer of the practice, subject to applicable law and continued protection of your information.

  • With your consent or at your direction.

5. Text Messages and Email


If you give us your phone number or email address, we may contact you about appointments, payments, and your account. Message and data rates may apply. You may reply STOP to opt out of text messages or use the unsubscribe link in marketing emails. You may still receive necessary non-marketing messages about your appointments or account.


6. Cookies, Analytics, and Advertising


We use cookies and similar technologies to make the Website work, remember your preferences, understand how visitors use the Website, and measure the effectiveness of our advertising.

We may use analytics and advertising tools, such as Google Analytics and Google Ads. These tools may collect information about your use of the Website. With Wix PHI protection enabled, health information collected in secure booking, intake, and patient forms is not shared with analytics or advertising tools. We do not use tracking technologies to disclose PHI to third parties for marketing.


You can control cookies through your browser settings and may opt out of Google Analytics at tools.google.com/dlpage/gaoptout and personalized Google ads at adssettings.google.com. Disabling cookies may affect some Website features.

Do Not Track: The Website does not currently respond to browser "Do Not Track" signals. Where required by law, we honor recognized opt-out preference signals such as Global Privacy Control.

7. Data Security


We use administrative, technical, and physical safeguards required by HIPAA and appropriate for the information we handle. These include HIPAA-compliant Website hosting with PHI protection, encryption of data in transit and at rest, role-based access controls, and Business Associate Agreements with vendors that handle PHI. No website, internet transmission, or storage system is completely secure, and we cannot guarantee absolute security. If a breach occurs, we will provide notice as required by applicable law.


8. Data Retention


We keep Website information only as long as reasonably needed for the purposes described in this Policy, or as required by law. Medical records are retained according to Missouri and Illinois medical-records requirements and our Notice of Privacy Practices.


9. Your Choices and Rights


You may request to:


  • access or receive a copy of personal information we hold about you;

  • correct inaccurate information;

  • delete information, subject to legal and medical-record retention requirements; and

  • opt out of marketing communications. Patients have additional rights over PHI, described in our Notice of Privacy Practices. To make a request, contact us using the information in Section 14. We may need to verify your identity before responding. We will not discriminate against you for exercising your privacy rights.

10. Children's Privacy

Fitnera provides services only to adults age 18 and older. The Website is not directed to children, and we do not knowingly collect personal information from children under 13 through the Website. If you believe a child has provided us information, please contact us so we can delete it.

11. Third-Party Links

The Website may link to websites we do not control, such as state licensing boards, payment processors, or video visit platforms. Their privacy practices are governed by their own policies. We encourage you to review them.

12. Location of Services

The Website is operated in the United States and is intended for people located in the United States. Clinical services are available only to patients physically located in Missouri or Illinois at the time of the visit.

13. Changes to This Policy

We may update this Policy from time to time. The updated version will be posted on this page with a new "Last Updated" date. Material changes will be highlighted on the Website or communicated as required by law.
